Role: Executive Assistant

What You Will Do
This role is directly supporting the Chief Development Officer and their team as well as back-up support for the Chief Executive Officer to ensure efficient operation and communication within the organization. This role requires a detail-oriented individual with excellent organizational skills and the ability to manage multiple tasks simultaneously.
Core Responsibilities
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Monitor, review, and prioritize email and task lists.
- Prepare and edit internal and external reports and presentations.
- Coordinate and organize meetings, including preparing agendas and taking notes.
- Handle confidential information with discretion and professionalism, following company policies related to the management of critical infrastructure and other protected information.
- Act as a liaison between executives and internal/external stakeholders.
- Assist with special projects and initiatives as needed.
- Provide backup coverage for the Minnesota Office Manager and CEO’s Executive Assistant during absences.
Who You Are
- Bachelor's degree or equivalent experience.
- Proven experience as an Executive Assistant or in a similar administrative role. Experience in energy, construction, or real estate development a plus.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
- Experience using advanced Outlook functions (rules, filtering, task manager) a plus.
- Interest and comfort with learning how to use new tools such as Copilot.
- Comfort and experience with collecting information and edits from various team members into a consolidated Word or PowerPoint document for executive review.
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality. Ability to identify and manage sensitive information including Critical Energy Infrastructure Information.
